HBKU seeks applications for the Manager of Initiatives and Integrated Services position. The applicant will be responsible for leading, overseeing, and managing strategic initiatives, process transformation, and service integration within the Office of the Vice President for Finance and Administration.
Strategic Initiatives and Project Management
- Lead the planning, execution, and evaluation of university-wide strategic initiatives under the Vice President of Finance and Administration (VPFA) office.
- Develop, establish, and implement frameworks for measuring the impact and effectiveness of key institutional projects.
- Ensure alignment of initiatives with institutional goals, operational efficiency, and service excellence.
- Collaborate with academic, research and administrative leadership to plan, oversee, and guide policy enhancements, digital transformation, and workflow optimization.
- Forecast trends and future needs to enhance administrative functions and decision-making.
Process Transformation and Operational Excellence
- Lead the identification, analysis, and reengineering of business processes to improve efficiency, reduce costs, and enhance overall performance.
- Develop, plan, and implement process transformation strategies, ensuring alignment with business objectives and industry best practices.
- Drive and oversee automation and digital transformation initiatives by evaluating and integrating emerging technologies into existing processes.
- Work closely with leadership to establish, direct, and forecast long-term process optimization goals and create roadmaps for continuous improvement.
Integrated Services and University Operations
- Oversee and direct the integration of administrative, academic, and research services to streamline operations and improve user experience.
- Develop, establish, and monitor service-level agreements (SLAs) across departments to ensure accountability and operational efficiency.
- Facilitate and manage collaboration between various departments to identify synergies, reduce redundancies, and enhance service delivery.
- Monitor and assess key performance indicators (KPIs) and reporting frameworks to evaluate service integration effectiveness.
- Ensure and enforce compliance with institutional policies, financial regulations, and best practices.
Stakeholder Engagement and Change Management
- Act as a liaison between the VPFA office and university departments, ensuring alignment on strategic priorities.
- Lead, guide, and direct change management efforts by designing and executing communication strategies and training programs for institutional transformation under the VPFA office.
- Engage, review, and approve collaborations with external partners, accreditation bodies, and regulatory agencies to ensure compliance and alignment with higher education standards.
- Foster, motivate, and establish a culture of innovation, collaboration, and continuous improvement by engaging stakeholders and implementing feedback-driven improvements.
- Delegate and assign responsibilities to key stakeholders, ensuring seamless execution of initiatives.
Performance Monitoring and Reporting
- Establish, implement, and monitor key performance indicators (KPIs) and reporting frameworks to measure initiative progress and operational success.
- Prepare, review, and approve high-impact reports, presentations, and strategic recommendations for the Vice President and university leadership.
- Ensure and control data-driven decision-making through regular analysis of operational trends, benchmarking, and forecasting.
- Investigate, assess, and report on process inefficiencies and recommend corrective actions.
- Other reasonable tasks as assigned by the supervisor.
- MBA/EMBA degree from a reputed institute in a relevant field.
- 8-10 years of relevant full-time work experience, 3 of which at a supervisory level.
- Proven ability to plan, evaluate, and control cross-functional collaboration and drive operational efficiency.
- Experience with business process reengineering, digital transformation, and automation in administrative operations.
- Strong knowledge of financial management, procurement strategies, and compliance frameworks.
- Excellent leadership, mentoring, coaching, and stakeholder engagement skills.
- A track record of achievements in the management of multi-functional teams and miscellaneous activities.
- Excellent writing skills with the ability to draft and edit a variety of written reports and communications, and to articulate ideas clearly and concisely; Arabic proficiency is an advantage.
- Proficiency in MS Office applications.
