Students must have passed and completed the required number of credit hours for their program of study and other requirements according to their catalogue year within the time limit set per program. Students who are willing to attend the graduation ceremony need to complete the graduation application, as per the deadlines stated in the academic calendar. Students requesting a name change for graduation-related purposes must complete a “Name Change” request.

The Registrar’s Office shall provide and publish a schedule for all final exams during the final exam week.

The instructor is responsible for setting the examination period. However, each examination period should not last more than three hours. Exceptions must be approved by the Registrar’s Office based on the recommendation of the College’s Dean, who is responsible for course offerings, and should only be made for sound educational reasons. No regular final exam can be scheduled before the final exam week without the Dean’s and the Registrar’s approval.

It is the responsibility of the student to show up at the specified time and location. Admission of late arrivals to the exam is at the discretion of the class instructor. Instructors are advised to have a late-arrival policy in the course syllabus. Make-up exams for final exams may be permitted for documented and justifiable absences. The make-up should be administered at the earliest convenient time for the instructor and the student.

Students need to conduct a plagiarism check with their supervisor for the thesis/dissertation and extract a report. Once the report is received from the advisor, they need to submit the “Similarity Index” form. The report should be uploaded with the Form.

Students need to submit a copy of the Signature page of their thesis defense. This page should include the signature of the College’s Dean as well. The page should be uploaded with the Similarity Index form.

Students need to upload their thesis/dissertation to ProQuest. They will receive a notification if there are any pending changes to be made to the uploaded thesis/dissertation. Uploading capstone projects on ProQuest is not required.

Students initiate the request by submitting the “Clearance Form approval”. The approvals are received from the Program Advisor, Library, Students Affairs, and Finance. The Registrar’s Office will update the student records and notify the student to collect the final documents from the university.

Submit a Request

An academic degree is awarded to a student following the successful completion of all requirements for their respective degree programs. Students’ degrees are confirmed by the Registrar’s Office by validating the student degree audit.

HBKU awards degrees twice a year:

  • In December, for students who complete their degrees between July and December. They will be considered as Fall graduates.
  • In June, for students who complete their degree requirements between January and June. They will be considered as Spring graduates.

The student’s eligibility to graduate is based on the following requirements:

  • Students should apply for graduation.
  • Pass all courses of the program and complete the required number of credit hours according to the degree plan.
  • Graduate students should maintain a CGPA of 3.0 out of 4.0, and Undergraduate students should maintain a minimum CGPA of 2.0 out of 4.0.
  • Students should meet any other specific graduation requirements set by the college/ program (internship, candidacy exam, etc.).

Hard copies of the degree award certificate and final transcript are produced and distributed by the Registrar’s Office to the graduating students in June after the award conferral. The Registrar’s Office will not issue a certificate until the degree has been conferred to the student. The Registrar’s Office will issue the following documents after the graduation ceremony:

  • Degree certificate in English
  • Signed and stamped copy of the Degree certificate for attestation purposes
  • Final transcript
  • Graduation statement in English

The Registrar’s Office will communicate directly with all the graduates regarding the collection of documents.

The Attestation Process

  • The student needs to take the original Degree Certificate and the signed/stamped copy to the Ministry of Foreign Affairs, Consular Affairs Department for their signature and stamp. For more details, please visit https://www.mofa.gov.qa/en/consular-services/legalization
  • Students shall obtain an embassy signature and stamp if required (non-Qataris only).

Mailing of Documents to home country

  • This service is available for international students who left Qatar before receiving their final documents.

  • Students will receive a shipment receipt for tracking the mail delivery. This service is free of charge.

HBKU Commencement Ceremony

HBKU Commencement Ceremony is organized to celebrate HBKU students’ success and confer their degrees. It is held during the Spring semester in each academic year. Students who meet the University’s graduation criteria will be eligible to participate in the ceremony.

In order to participate in this Ceremony, the student must complete the degree’s requirements for their respective degrees on time. Students who completed their degree requirements in the previous Fall semester are also eligible to attend the ceremony.

QF Convocation: QF Convocation is organized to celebrate the success of all students from all branch campuses within Education City. It is held during the Spring semester in each academic year. Students who attended the HBKU ceremony are eligible to participate in this ceremony as well.
