Senior Enrollment Technology and Operations Specialist - For Qatari Nationals Only

The Enrollment and Registration Department provides comprehensive services to prospective and current students, faculty, advisors, and academic units throughout the student lifecycle. The Department manages admissions, registration, course scheduling, maintenance of the university catalog, student records, and the issuance of official academic documents. It is committed to delivering efficient, accurate, and student-centered services while ensuring compliance with university policies and supporting the university's enrollment and academic objectives.

HBKU seeks applications for the position of Senior Enrollment Technology and Operations Specialist. The applicant will be responsible for overseeing the end-to-end operation of enrollment technology and registration systems, ensuring consistent system performance, data accuracy, and compliant reporting.

  • Serve as the primary functional point of contact between enrollment operations and HBKU IT to ensure alignment of system requirements, functionality, and operational priorities.
  • Oversee the operational administration of enrollment and registration systems, including Banner, CourseLeaf modules, ARGOS reporting, CRM, EvaluationKit, and Scheduling systems, ensuring consistent system performance and reliability. 
  • Liaise with HBKU IT, as required, to support system configuration, issue resolution, and system upgrades. 
  • Ensure effective system integration, configuration, and functionality across enrollment and registration platforms in line with approved operational requirements. 
  • Monitor system performance, identify operational issues, and exercise independent judgment in resolving complex system-related challenges in coordination with HBKU IT. 
  • Lead the functional execution of system updates, upgrades, and implementations, ensuring alignment with approved processes and operational needs. 
  • Act as a core functional contributor in Student Information System (SIS) initiatives, overseeing testing, data validation, and implementation readiness. 
  • Identify and recommend technology enhancements and system improvements to improve operational efficiency for management review and approval by management. 
  • Ensure the integrity, accuracy, and consistency of enrollment and registration data across all systems. 
  • Develop, maintain, and validate standard operational and management-level reports and dashboards to support enrollment activities and institutional reporting. 
  • Provide training and support to staff on system functionalities and best practices. 
  • Act as the subject matter expert for enrollment-related technologies, providing authoritative guidance, functional training, and best-practice direction to system users. 
  • Work closely with academic departments and administrative units to resolve enrollment system issues, streamline processes, and enhance overall user experience. 
  • Other reasonable tasks as assigned by the supervisor. 

  • Bachelor’s degree in computer science, Information Technology, or a related field.
  • 6-8 years of experience in higher education, preferably within the Academic Support function, with at least 2 years’ experience working with Student Information Systems (SIS).
  • Working knowledge of databases, reporting tools, and scripting used for SIS reporting and automation (e.g., SQL and reporting tools). Experience with web-based systems and ARGOS reporting is preferred.
  • Demonstrated experience in project planning and execution, with strong attention to detail and the ability to manage multiple initiatives simultaneously.
  • Strong analytical skills with the ability to analyze data, develop reports, and provide insights that support operational and management decision-making. Proficiency in data visualization and reporting tools is an advantage.
  • Excellent verbal and written communication skills, with the ability to draft and edit reports and articulate ideas clearly and concisely. Proficiency in Arabic is an advantage.
  • Experience in delivering functional training and user guidance on technology systems and processes.
  • Strong problem-solving skills, with the ability to adapt to evolving technologies and operational requirements, and to recommend practical solutions that enhance efficiency and effectiveness.
  • Ability to work collaboratively with cross-functional teams, including IT and academic departments, to address operational challenges and improve system performance.
  • Proficiency in MS Office applications; knowledge of Power BI is an advantage.

  • Demonstrated proficiency in CourseLeaf products and the Banner Student Information System (SIS) is highly desirable and will be considered a significant advantage.
  • Experience with Infosilem and Slate is highly desirable and will be viewed favorably.
