Guidelines for Using HBKU Sports and Recreation Facilities

Facility Access Rules

  1. Access to all HBKU Sports and Recreation facilities is available only to HBKU students, faculty, staff, alumni and Qatar Foundation members
  2. Facility users are allowed to bring one guest only
  3. For bowling, facility users are allowed to bring a maximum of five guests
  4. Guests are not required to present their ID cards, but HBKU and Qatar Foundation members need to identify their guest details
  5. All facility users must present their ID for entry into each facility. Sports and recreation staff members are required to conduct identification checks to verify the identity of the users
  6. In the case of a forgotten ID, the user will be asked to provide additional identifiable information (such as Qatari ID, a driver’s license, etc). His/her personal signature will allow access to the facilities
  7. In case of misrepresentation/misuse of the access ID card by its holder, the sports and recreation staff will be entitled to immediate action, such as not allowing the users to use the facility. Misrepresentation/misuse of the ID card includes the following:
    1. Allowing entry to another person while using his/her identification
    2. Inappropriate use of another person's identification
    3. Forgery or alteration of documents, records, keys, or access codes
    4. Sale, purchase or possession of false identification
  8. HBKU Sports and Recreation allows users to give access to immediate family members to use the facilities.
  9. Female and male guests hosted by HBKU Housing and Residence Life are allowed to use the facilities after providing the guest’s ID
    1. Present the family ID to the assigned staff member for checking and verification
    2. Only three immediate family members are allowed to use the facility
    3. Non-immediate family members are considered as guests
    4. For bowling, members are allowed to bring a maximum of five guests, and for other facilities, one guest only
    5. The family ID holder must present the ID and register three immediate family members in the system before they can use the facility
    6. Immediate family members are not allow to use the facility if the QF family ID holder is not present during the time of access
    7. If the QF family ID expires, the holder must renew the ID before use of any of the facilities
  10. Facility access is allowed only in specified periods, announced by the Sports and Recreation management, and with the Sports and Recreation staff in attendance. Access during unscheduled times is regarded as trespassing and will be strictly dealt with.
  11. Cigarettes, glass containers, chewing gum, food and beverages, and weapons are strictly prohibited in all sports and recreation facilities.
  12. For the sports courts area
    1. Inappropriate use or abuse of the facility or equipment may result in the termination of privileges
    2. Users should dispose of all trash properly in the appropriate trash containers after using the facility
    3. Marking the facilities is not allowed
  13. All participants are required to follow the rules for using the facilities.

Equipement

  1. Equipment can be checked out from the HBKU Sports and Recreation Desk with a valid QF ID card
  2. Using other equipment that may cause damage to the floor area is not permitted
  3. Facility users will be charged for lost, stolen or damaged equipment
  4. Bringing personal equipment is not allowed
  5. Other QF offices/divisions that are planning to use HBKU’s facilities need to follow the following procedures:
  6. Send an official request to HBKU Sports and Recreation management
  7. Specify the equipment
  8.  List all equipment to be used during the event
  9. All requests will be reviewed and approved by HBKU Sports and Recreation management.
  10. Permits will be secured from CP1, and all requirements needed to apply for the approval of PTW will be issued by the requester
  11. In the event of damaged equipment, the requester is held liable after an assessment has been conducted

Child Usage

  1. Children under the age of 16 must be supervised by an adult at all times
  2. No children under the age of 16 are allowed to use the fitness gyms, fitness studios and sports courts
  3. No children under 6 years of age are allowed to use bowling and arcade rooms
  4. No children under 12 years of age are allowed to use the game room

HBKU Sports and Recreation Facility Reservations

HBKU Sports and Recreation facilities that are available for reservations:

  1. Sport Court
  2. Bowling Alley

 

  1. The individual or group  from the HBKU or QF community must submit a reservation request via the EMS Online Reservation System at http://hbku-sc.qf.org.qa 
  2. Users are required to create an account, wait for an activation email (to be received within two business days), determine live venue availability and send an online request providing all details
  3. Requests for facility use should be submitted at least three business days before the event
  4. The duration of the facility reservation must not exceed two weeks
  5. HBKU and Qatar Foundation community members can only make reservations three days to two weeks in advance, with a maximum of 90 minutes per reservation per week
  6. The request will be received and approved on a first-come, first-served basis
  7. Users must bring a copy of the confirmation letter to the HBKU Sports and Recreation desk
  8. The requester must be present during the activity or event and will not be allowed to transfer his booking to other individual or group
  9. HBKU reserves the right to deny facility usage for any event that is programmatically or operationally impossible to accommodate, or that conflicts with the HBKU mission and policy
  10. To cancel facility reservation requests, the requester must call the Sports and Recreation desk on 4454.0284, or send email to studentrecstaff@qf.org.qa

HBKU Sports and Recreation facility usage is free of charge. Specific charges only apply to the following facilities:

  1. Bowling Alley
  2. Arcade Games

Fees for Bowling and Arcade Games:

Education City students

5 QAR

Qatar Foundation alumni, staff and family (13 years old and above)

10 QAR

Children (6 - 12 years)

5 QAR

Guests

10 QAR

Socks

2 QAR (a pair)

Token

1 QAR per token

PlayStation

Damaged and Malfunctioning Facilities

  1. The user is required to report property damages and malfunctioning equipment to the Sports and Recreation staff. After assessing the damages, an incident report with the quotation will be sent to the user who must cover all expenses
  2. User groups are responsible for the actions of all members of the group and will be responsible for damage compensation for HBKU property
  3. Members of the user group(s) are required to follow the rules and regulations of HBKU Sports and Recreation as they use the facilities

Acceptable Behavior When Using HBKU Sports and Recreation Facilities

HBKU Sports and Recreation facility users must present appropriate behavior and comply with the signs, instructions and directions provided by the division and University staff.

Aggressive and reckless behavior (including the following) is explicitly prohibited:

  1. Using foul or abusive language
  2. Threats, intimidation, harassment, coercion or other behavior that may jeopardize the health or safety of any other person 
  3. Unauthorized access to the facility
  4. Using  seating facilities for other purposes such as sleeping
  5. Posting, advertising, and conducting unauthorized private lessons or training, and soliciting individuals for personal services, businesses, or agencies
  6. Eating or drinking inside the facilities
  7. Misusing or damaging any of the facilities or equipment
  8. Bringing animals inside the facilities
  9. Unauthorized commercial use of venues, such as offering services without permission in exchange for payment from parties other than the University

Facility users must report all incidents directly, including any accidents or injuries that might occur.

 

Dress Code

Users should commit to the following dress code and be in appropriate attire at all times. This applies to all individuals using HBKU Sports and Recreation Facilities, including the fitness studio, gym, sports courts, arcade room, games room, and bowling alley. The rules are in accordance with the Qatari dress code, which represents the values of the country and respects Islamic law.

  1. All individuals should wear appropriate workout and athletic shoes
  2. Shorts that are inappropriate in length or that expose a large area of the leg are not allowed
  3. All apparel should cover the midsection, chest, and the entire area between the shoulder blades and groin. All individuals must be fully covered with the athletic-type attire while present at HBKU Sports and Recreation facilities
  4. Sandals, boots, flip-flops, heels and hard-soled shoes are not allowed in any activity area

Photography, Videography and Filming

All photography, videography and filming activities must be approved in advance by the HBKU Sports and Recreation management. Requests are reviewed on a case-by-case basis and approvals are not guaranteed.

Changing Rooms, Shower Area and Restrooms

  1. HBKU Sports and Recreation is not responsible for lost or damaged personal belongings, as a result of being left unattended
  2. Video filming, sound recording and photo taking are not allowed in this area   

Day Use Locker Policy

  1. Lockers are available in the changing room
  2. Day-use lockers are available on a first-come, first-served basis
  3. Users must remove all items in day-use lockers when they leave the facility
  4. Any item left inside the locker will be confiscated by the lost and found staff members in the security desk area
  5. HBKU cannot accept responsibility for lost or stolen property
